Privacy Policy
How we collect, use and protect the information you share with us. Last updated 13 July 2026.
Who We Are
Ardis Systems Limited t/a Ardis Books (“we”, “us”, “our”) sells pre-loved and collectible books at www.ardis.co.uk. We are a company registered in England and Wales (company no. 02355428) at 3 Mill Street, Titchfield, Fareham, Hampshire, PO14 4AB, United Kingdom. We are the data controller for the personal information described in this policy. Questions or requests: enquiries@ardis.co.uk, or write to us at the address above.
Information We Collect
When you order: your name, email address, delivery address, telephone number (optional), and the details of what you bought. Payment card and PayPal details are collected directly by our payment providers and never touch our servers.
When you contact us or join the newsletter: your email address and whatever you include in your message.
Automatically: basic technical logs (IP address, browser type, pages requested) kept for security and to keep the site working. Your shopping basket is stored only in your own browser (local storage) — we don’t see it until you check out. We do not use advertising or analytics cookies.
How We Use It & Our Lawful Bases
We use your information to take payment, deliver your order, send you the order confirmation, invoice and dispatch emails, and handle returns and enquiries — this is necessary to perform our contract with you. We keep order records for tax purposes under our legal obligations. We protect the site against fraud and abuse under our legitimate interests. If you opt in to the newsletter, we send occasional updates with your consent, which you can withdraw at any time using the unsubscribe link or by emailing us. We never sell your personal information, and we don’t use it for automated decision-making or profiling.
Who We Share It With
Only the providers needed to run the shop, and only for that purpose:
PayPal processes payments. Royal Mail and Parcel2Go, through whom we buy postage labels, receive your name and address to deliver your order. Andrews & Arnold host our email. If you buy from us on eBay or AbeBooks, those platforms process your data under their own privacy policies before passing us what we need to fulfil the order. Some of these providers may process data outside the UK; where they do, transfers are protected by UK-approved safeguards such as adequacy decisions or standard contractual clauses.
How Long We Keep It
Order and invoice records are kept for six years after the end of the tax year they relate to, as required by UK tax law. Enquiry emails are kept for up to two years. Newsletter details are kept until you unsubscribe. Technical logs are kept for a short rolling period.
Your Rights
Under UK data protection law you have the right to: access a copy of the personal information we hold about you; have inaccurate information corrected; have your information erased where we no longer need it; restrict or object to our use of it; receive the information you gave us in a portable format; and withdraw consent at any time where consent is our basis. To exercise any of these rights, email enquiries@ardis.co.uk — we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
This policy is provided in good faith and is not legal advice to you; if anything is unclear, please ask us.
